Account Specialist
As an entry-level position, the Account Specialist acts as a key support for the Account Services Team. Account specialist will report directly to the Account Executive on each account and will primarily be focused on developing the tools and knowledge necessary for managing an account.
Primary Responsibilities:
Account Service Roles
- Primarily assist the Account Services Director/Manager/Executive in supporting active accounts.
- Help Account Services Director/Manager/Executive clearly define and ensure that scope of work is communicated clearly to all parties within JHG.
- Assist in leading cross-functional project teams consisting of all impacted service groups, vendors and client members. Implement proper process from the start of a project to completion.
- Assist in gathering and performing all requirements prior to the start of a project and communicate these details through the creation of project plans that are maintained throughout the duration of the project. Project plans include defining project scope, deliverables, timelines, and budgets.
- Learn to facilitate cross-functional team meetings with the necessary service groups and client members. Assist in ensuring that the team communicates back to JHG staff (project operations, senior management, creative, development, etc.) all client related issues, concerns and needs.
- Maintain and update data within account or project management software to help facilitate company-wide communication for each account.
- Assist in assigning the appropriate project teams for each client at the inception of the account; communicate appropriate changes to the team as needed.
- Communicate back to JHG all client related issues, concerns and needs.
- Write up all communication with client and internal staff and forward it to appropriate JHG team members.
- Assist in managing the relationship between the client, business development and JHG senior management.
- Assist in maintaining project plans including project scope, deliverables, and timelines.
- Monitor and ensure overall project quality control.
- Ensure the follow-through of all action items related to a particular project to make sure that all deliverables are completed on schedule. Also assist in ensuring that each discipline is delivering on time and on budget.M.
- Balance client requests that impact scope and estimated costs with delivering quality customer service.
- Become proficient in the types of projects JHG performs.
- Become proficient in basic capabilities of each JHG service offerings including online, mobile, PR, and sports marketing.
- Conduct research as needed to support projects.
- Support account services team in their absence.
Project Operations / Financials / Scope of Work
- Assist Account Services Director/Manager/Executive and project operations to learn key skills for project estimating, scope of work management, profitability reporting.
- Help to clearly define and ensure that scope of work is communicated clearly to all parties within JHG and to the client.
- Help to ensure that once scope of work is defined that any changes to project/assignment are quickly identified and appropriate communication is established to make certain that JHG staff is aware of change and appropriate re-pricing is delivered.
- Assist in completion and delivery of account activity reports, billing reports (retainers), change orders, and any other required communications to appropriate internal and client contacts
- Assist project operations in pricing of all projects and oversee the profitability of each project assigned.
- Prepare for regular financial reviews with the Director of Account Services and with JHG management for each account.
Business Development / Up selling
- Assist with new business pitches as a member of the Accounts Services Team.
- Work with business development staff as needed to effectively transition account from sold to active and to learn to ensure that clients are maximizing the value of the products and services that we provide.
- Complete New Client Forms and Internal Project Activation Forms and to ensure activation of all projects and estimate creation.
Requirements:
- Three years of experience in project management or related field.
- A bachelor degree in a related field or equivalent work experience as noted in requirement section.
- Excellent written and communication skills and proficiency in Microsoft suite of applications including, Excel, PowerPoint and Word
- A professional demeanor, exceptional organizational skills, and a proactive approach are necessary.
- As Account Specialists assist multi-functional teams to project completion, an ability to perform critical decision-making in a timely fashion is important, as are interpersonal management skills.
- Experience in any or all of the following project types preferred:
- Creative (design, print, motion media)
- Technology (web/interactive)
- Sports
